Account, Roles & Security
Learn about single sign-on across Word, Excel, and PowerPoint, role-based profiling governance, Projects Manager administrative bypass, and offline resilience.
1. Sign In & Cross-App Session Synchronization
WhatsDocs makes authentication seamless across all Microsoft Office desktop applications:
-
Single Sign-On: When you log into WhatsDocs in Word, your authenticated session and role permissions are automatically synchronized to Excel and PowerPoint via a secure local snapshot in
%LOCALAPPDATA%\WhatsForm. - 8-Hour Session Cache: Role checks and credentials remain active for 8 hours from your last sign-in. You never have to re-enter your password when switching between applications throughout your workday.
- Clean Sign-Out: Clicking Log Out purges cached session tokens and role records across all hosts simultaneously.
2. Role Governance: Standard Users vs. Projects Managers
WhatsDocs enforces organizational filing discipline while preserving administrative flexibility:
| User Role | Profiling Enforcement Mode | Operational Behavior |
|---|---|---|
| Standard User (Staff, Preparers, Reviewers) | Strict Enforcement | Native Save (Ctrl+S) and Save As (F12) on unprofiled documents with content are intercepted and routed into WhatsDocs profiling or the 4-choice Save As Options dialog. Ensures 100% filing compliance across client deliverables. |
| Projects Manager (Partners, System Admins) | Administrative Bypass | Retains native Office Save and Save As dialogs for unmanaged files, legacy documents, and ad-hoc administrative workflows without interception. |
3. Offline Fail-Safe Resilience
WhatsDocs is designed with absolute fail-safe protection so technical downtime never obstructs business delivery:
If your internet drops, or the central ERP server is unreachable, WhatsDocs automatically pauses save interception. Native Office Save and Save As proceed immediately so you can save your work to disk with zero friction.
